Privacy Policy

This Privacy Policy explains how Revodo Limited, a company registered in England and Wales under company number 17350368 (registered office: Suite RA01, 195–197 Wood Street, London, E17 3NU), collects, uses, stores and protects personal information when you use the Revodo website, mobile applications and related services.

Revodo Limited is the data controller for the purposes of UK data protection law. This policy covers the live Revodo service, including Free, Pro, Pro Family where offered, and any legacy Founding Member entitlements.

Depending on the features you use, we may collect the following information:

• Account and profile data — your name, email address, user and account identifiers, authentication provider, profile information and preferences
• Vehicle and ownership data — registration number, make, model, mileage, ownership details and related identifiers
• Service and repair history — maintenance, inspections, MOT, tax, recalls, faults, diagnoses, work completed, parts, labour, garage, costs and warranty information
• Photos, files and documents — images, invoices, receipts, service records and other attachments you choose to upload, together with relevant file metadata
• In-app content — information you enter, import or confirm, support messages, feedback, vehicle-transfer invitations and conversations with Revodo features such as Klaus
• Subscription information — plan, entitlement, purchase status, product and transaction identifiers supplied by Apple, Google or our subscription provider; we do not receive your full payment-card or bank-account details
• Device and usage data — device or app identifiers, platform, app version, push-notification token, settings and interactions with the service
• Reliability data — crash logs, diagnostics and performance information
• Communications — messages sent to support and your email, reminder or notification preferences
• Revodo ID and access data — vehicle-passport identifiers, sharing destinations, consent choices, authorisations, revocations and access-session records
• Import data — invoice email addresses, sender and message metadata, registration-based matching results, CSV imports, extracted purchases and your corrections before saving
• Garage and provenance data — service requests, approvals, staff or garage verification, attestations, evidence-sharing events and the source and timing of record changes

Some information is required to create and secure an account or provide a feature. Other information, including profile details, vehicle content and uploads, is optional and is collected only when you choose to provide or use it.

We obtain information:

• Directly from you when you register, add a vehicle, upload or import records, contact us, or use Revodo features
• Automatically from the app or device when you use Revodo, where permitted by your settings and consent choices
• From Apple, Google and RevenueCat when they confirm a subscription, purchase or entitlement
• From authentication, communications, analytics and reliability providers acting on our behalf
• From official or publicly available vehicle-information sources, including DVSA services, where a feature requests that information
• From referral, affiliate or campaign links when you visit or sign up through them
• From garages, staff, guests or service partners when you authorise a connected workflow or they submit a record or attestation they are permitted to provide
• From invoice emails, CSV files and other imports that you send to, upload to or connect with Revodo

We use personal information to:

• Create, authenticate and secure accounts
• Provide Revodo ID, vehicle-passport, vehicle management, service history, repair, document, reminder, transfer and import features
• Match invoice emails and imported records to a vehicle using its registration number and other identifiers, and let you review or correct extracted information
• Record and enforce consent, authorisation and revocation choices for sharing with garages, services and other destinations
• Maintain provenance trails showing who supplied, approved or changed a vehicle record and what evidence supports it
• Extract information from documents and present it for your review and confirmation
• Manage Free, Pro and legacy Founding Member access, subscriptions and entitlements
• Send service messages, requested notifications, support replies and marketing where permitted
• Understand feature use, diagnose crashes and improve performance and reliability
• Prevent fraud, abuse and security incidents, enforce our terms and comply with legal obligations

We do not sell or rent personal information. On the web registration app, TikTok Pixel is disabled by default and is loaded only if you separately enable Advertising measurement. If enabled, Revodo sends TikTok the standard CompleteRegistration event only after Supabase confirms a genuinely new account; Revodo does not include your name, email address, phone number, vehicle registration or vehicle data in that event. TikTok may use browser and cookie identifiers for campaign measurement under its own privacy terms. You can withdraw this consent through Privacy Preferences.

Under UK GDPR, we use the lawful basis that fits the particular purpose:

• Performance of a contract — account creation, vehicle and document features, requested AI functions, transfers, support and subscriptions
• Consent — optional app diagnostics, non-essential website cookies, advertising technologies, direct marketing where consent is required, and optional sharing or garage access that you actively authorise
• Legitimate interests — service security, fraud prevention, essential administration, support and carefully measured improvement, after balancing those interests against your rights
• Legal obligation — tax, accounting, regulatory, court and law-enforcement requirements that apply to us

You may withdraw consent at any time through the relevant setting or by contacting us. Withdrawal does not affect processing already carried out lawfully.

When you ask Revodo to scan a document or use Klaus, relevant documents, prompts, vehicle records and conversation context may be processed through a secure server-side integration with Google Gemini. Scanned information is presented for review before it is added to your history.

We use this processing to provide the feature you request and to protect the service. You remain responsible for checking outputs. We do not use solely automated processing to make legal or similarly significant decisions about you.

Original documents, conversations and extracted data are retained or removed according to the feature controls, account status and the retention practices below.

Proactive Location Help is an optional Revodo Pro feature. It is off by default and operates only after you explicitly opt in and grant the required device permission. You can withdraw permission or turn the feature off at any time.

When enabled, Revodo may check your approximate location only while the app is in the foreground, no more often than approximately once every 12 hours, and only where the selected vehicle has a Vehicle Health item marked Due now. Before transmission, the app rounds the coordinates on your device to approximately three decimal places. The rounded coordinates are sent through Revodo's authenticated nearby-place service to Google Places solely to identify a need-appropriate parts retailer, tyre centre or garage. If location permission is unavailable or you prefer not to use it, you can instead provide a postcode or town; Revodo uses that area together with the selected vehicle's Due now Health need to search.

Revodo may retain on your device the selected retailer or place identifier and name, timestamps for the location check, message and follow-up, and suppression keys used to avoid repetitive prompts. Depending on the event and your interaction, those local records are limited to 48 hours, 7 days, 14 days or 90 days. Revodo may later make a short foreground-only stationary comparison to decide whether to offer a receipt follow-up. Individual raw location samples are held in memory only for the immediate comparison and are not stored.

Turning off Proactive Location Help clears the local location-derived state used by the feature. Revodo does not sell this location information and does not send it to Klaus.

Google Places may receive the rounded coordinates and request or service metadata. Google may log or retain information under its own terms, privacy policy and data-retention practices, which Revodo does not control. Google may process that information outside the United Kingdom. Where UK data protection law requires safeguards for Revodo's own transfers, we use the measures described in the International Data Transfers section; Google's independent processing is governed by Google's applicable terms and privacy practices.

We use providers that process information to operate Revodo, including:

• Supabase — authentication, database, storage and server-side functions
• Google Firebase — analytics, crash reporting and messaging where enabled
• Google Gemini — AI-assisted document extraction when you request it
• RevenueCat, Apple and Google — subscriptions, purchases and entitlement management
• Resend and Make.com — transactional email and service workflows
• Framer — hosting and operation of the Revodo website
• Google Analytics and Tag Manager, Microsoft Clarity, Meta and Reddit — optional website analytics, session insight and campaign measurement, only where enabled by your cookie choice
• TikTok — optional registration measurement on the web registration app, only where separately enabled through Advertising measurement in Privacy Preferences
• DVSA and automotive data services — vehicle, MOT and related information requested through the app
• Awin and participating automotive retailers — affiliate referral and purchase attribution when you follow an affiliate link

When you approve a Revodo ID or connected-garage access request, the authorised recipient receives read-only access to the vehicle’s shared timeline. Account activity and documents are excluded. Access does not expire automatically.

These providers process information to provide services to Revodo and are subject to contractual or platform safeguards. We may also disclose information to professional advisers, regulators, courts or law-enforcement bodies where reasonably necessary or legally required, or as part of a corporate transaction with appropriate protections.

Optional app diagnostics, advertising measurement and non-essential website analytics, session-replay and advertising technologies are used only where permitted by your consent choices. App diagnostics and TikTok registration measurement are separate choices in Privacy Preferences; website choices are managed through Cookie Settings.

We may send essential service and security communications. Marketing messages are sent only where permitted, and you can unsubscribe at any time. Reminder and push-notification preferences can be controlled through Revodo or your device settings.

Some providers process information in the United States or other countries outside the United Kingdom. Where UK data protection law requires it, we rely on UK adequacy regulations, the UK-US data bridge where applicable, or approved contractual safeguards such as the UK International Data Transfer Agreement or UK Addendum, together with risk assessments and security measures.

We use reasonable technical and organisational measures designed to protect personal information, including encrypted network connections, access controls, protected server-side operations and separation of privileged credentials from the app and browser.

No service can guarantee absolute security. Please use a strong, unique password and tell us promptly if you believe your account has been compromised.

Account, vehicle and document data is normally kept while your account is active. Website launch and marketing records are kept while we need them for the requested communications, until you unsubscribe, or until they are no longer reasonably necessary. We may keep a minimal suppression record so we do not email someone who has opted out.

You can request account deletion in the app through Profile, Data & Account, Delete Account, or at revodoapp.com/delete-account. A 30-day restoration period begins when deletion is requested. After that period, account data is deleted or anonymised, subject to limited information retained for legal, fraud-prevention, security, dispute or accounting purposes. Revodo does not guarantee that every data category is included in a backup. Database records and uploaded files may have different backup coverage and retention. Where backup copies exist, they are separated from ordinary use and expire or are removed on the relevant provider’s normal rolling schedule.

You may also request deletion of particular vehicle records, uploads or other content without deleting your whole account. Temporary and abandoned import files are removed through automated cleanup processes. Consent, authorisation, attestation and provenance records may be retained for as long as reasonably needed to operate the trust workflow, resolve disputes, protect users or meet legal obligations.

Under UK data protection law, your rights may include:

• Access — request a copy of personal information we hold about you
• Rectification — correct inaccurate or incomplete information, including editable imported purchase and service data
• Erasure — ask us to delete information where there is no lawful reason to keep it
• Restriction — ask us to limit processing in certain circumstances
• Objection — object to processing based on legitimate interests or to direct marketing
• Portability — receive certain information in a portable format; Revodo also provides an in-app data export
• Withdrawal of consent — withdraw consent at any time where processing relies on it
• Complaint — contact the Information Commissioner's Office at ico.org.uk if you believe your rights have been breached

We may need to verify your identity before completing a rights request. We normally respond within one month, although UK law allows an extension for complex or numerous requests. You can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/ or by calling 0303 123 1113.

Revodo is not directed to children under 18 and we do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us so we can investigate and take appropriate action.

We may update this policy as Revodo, our providers or legal requirements change. We will publish the revised policy on this page, update the date above and provide additional notice where a change is material.
